Guidelines for all

  1. IBC2021 will be held as a virtual/online Conference based on the ZOOM platform.
  2. In order to have an easy and trouble-free participation please ensure that you have:
    • a computer with a stable internet connection
    • a headset (preferable) or external speaker/microphone
    • a web camera
  3. If you’ve never used Zoom before please click here, download and install Zoom Client for Meetings.
  4. You can test your internet connection, microphone, speakers and camera by joining a test meeting available here.
  5. In order to facilitate your connection to our meeting room, you’ll only be asked for a password.
    The password will be emailed to you before the start of the conference.
  6. You will find the link to IBC2021’s sessions in our website and the final program as well.
  7. IMPORTANT NOTE: please use your full name during your connection to Zoom. It will help the verification of your participation and the issuance of your certificate. If you need to rename yourself:
    1. Click the “Participants” icon in the Zoom toolbar
    2. In the Participants window, next to your name click “More” and choose “Rename
    3. Enter a new name and click “Rename” to save it for that session

Guidelines for Attendees

  1. To join an IBC2021 session, you will need to use the conference link, as indicated in the program/website.
  2. During your participation you are not allowed to use your video or microphone unless you are asked to.
  3. Questions will be accepted orally or through the integrated chat box. In order to ask a question:
    • Click on the “Participants” button and choose “Raise Hand” (please remember to “Lower Hand” after your question is placed)
      or
    • Send a “I have a question” message to the chat box of the session or write the full text of your question in which case the chair is going to read it out for you

Guidelines for Presenters

  1. During your presentation you will need to use your video and microphone so please make sure that they work properly.
  2. In case you need to use a PowerPoint presentation or any other document you will need to share your screen with the button you will find on the bottom of your screen. You can read more about how to share your screen in Zoom here.
  3. If you are going to have co-presenters please make sure you organize your talk in terms of who will be sharing screens.
  4. We will provide practice sessions with our technical assistant in order to check your audio/video connection and screen sharing. You will be notified by email about this issue.
  5. Please rehearse and estimate the time of your talk. The chair will notify you accordingly.

Guidelines for Chairpersons

Chairpersons are asked to maintain the scheduled timekeeping and foster active discussion

  1. Please join the session at least 15 minutes in advance
  2. During the session your camera should be on
  3. You have to click on the Participants and Chat buttons on the bottom of your screen in order to open the respective panels on the right of your screen
  4. Introduce the session, and then each author/paper-title before their presentation
  5. During the presentation you should mute yourself 
  6. Please keep track of the questions on the Chat panel on the right of the Zoom window
  7. If necessary, approximately 3 minutes before presentation ends (presentation: 20′, Q&A: 10′), you are requested to give the speakers an indication of the time left by –gently– interrupting them (remember to unmute yourself)
  8. After each presentation unmute yourself. Read the questions to the presenting author during the Q&A period with absolutely no delay on the allocated Q&A time slots
  9. For oral questions ask the attendee who would like to place the question to unmute and turn on the camera
  10. Ιt is very important to keep the presentations within the allotted time. Delays on the predetermined slots of each session will push other sessions behind
  11. If there are any missing speakers in your session, the organizers will post a “Cancelled” image. Do not leave the meeting if the cancelled presentation is not the last one
  12. After concluding the session you may leave the meeting
